Principles

Monarch Group will adhere to the seven principles as a whole from this policy. This policy applies to the management of personal information in any form, whether oral, written or electronic. This policy does not, however, impose limits on the collection, use or disclosure by Monarch Group of any information that is publicly available, including the name, business address or telephone number of a customer or employee.

1. Accountability

Monarch Group is responsible for the protection of personal information under its control. The Monarch Group's Privacy Official is responsible for ensuring that Monarch Group complies with this policy. 
 
Other individuals within Monarch Group may be delegated to act on behalf of Monarch Group's Privacy Officer or to take responsibility for the day-to-day collection and processing of personal information.
 
Monarch Group is responsible for the protection of personal information in its possession or custody, including information that has been transferred to a third party for processing or other purpose related to Monarch Group's business and operation. Monarch Group will use contractual or other means to provide a comparable level of protection while the information is in the possession of the third party.
Implementing procedures to protect personal information;
Establishing procedures to receive and respond to inquiries or complaints;
Training and communicating to employees and Monarch Groups policies and practices;
Developing information to explain Monarch Groups policies and practices.

2. Identifying Purpose

At or before the time personal information is collected, Monarch Group will identify the purposes for which the information will be used.
Generally, Monarch Group collects personal information to:
Establish and maintain responsible commercial relations with customers and employees;
Provide ongoing service to customers;
Understand customers needs;
Develop, enhance, market or provide other services;
Manage and develop its business and operations, including employee and employment matters;
Satisfy legal and regulatory requirements.

3. Consent

The collection, use or disclosure of personal information requires the informed and consent of customers or employees.
  
Monarch Group will make reasonable efforts to ensure that customers and employees are aware of the purposes for which personal information will be used or disclosed. Generally, Monarch Group will seek consent to use and disclose personal information at the same time it collects the information. However, Monarch Group may seek consent to use and disclose personal information after it has been collected, but before it is used or disclosed for a new purpose. In determining the appropriate form of consent, Monarch Group will take into account the sensitivity of the personal information and the reasonable expectations of its customers and employees.
 
Monarch Group will generally require customers to consent to the collection, use or disclosure of personal information as a condition of the supply of service. However, in some cases, the use of Monarch Group's services by a customer or the acceptance of employment or benefits by an employee, will constitute implied consent for Monarch Group to collect, use and disclose personal information for all identified purposes.
 
A customer or employee may withdraw consent at any time, provided they follow the legal or contractual restrictions and give reasonable notice. Customers and employees may contact Monarch Group for more information regarding the implications of withdrawing consent.

4. Limiting Collection

Monarch Group will limit the collection of personal information to what is necessary to achieve the purposes identified by Monarch Group. Monarch Group will collect personal information in a fair and lawful manner.
 
Monarch Group collects personal information from its customers and employees, as well as from other sources with the employee's or potential employee's consent. This can include credit bureaus, employers, or personal reference or other third parties.

5. Limiting Use, Disclosure and Retention

Monarch Group will not use or disclose personal information for any other purpose than the one for which it was collected, except with the consent of the individual or as required by law. Monarch Group will only keep personal information for as long as it is needed to fulfil its original purpose.
 
In addition, Monarch Group may disclose a customers personal information to:
Another person for the development, enhancement, marketing or provision of any of Monarch Groups service;
A person who, in the reasonable judgement of Monarch Group, is seeking the information as an agent of the customer
A person engaged by Monarch Group to perform functions on its behalf, such as research, data processing, payroll and legal services;
Only employees who need access to personal information for business reasons are granted access.
Monarch Group will keep person information only as long as it remains necessary or relevant for the identified purposes or as required by law. Monarch Group will maintain reasonable and systematic controls, schedules and practices for information will be destroyed, erased or made anonymous.
The data collected for web analytics purposes is sent to Google servers outside of China and may be processed in any country where Google operates servers. The data may be subject to the governing legislation of that country. For further information about Google Analytics, please refer to Google Analytics' terms of service. The information is not disclosed to an external third party service provider.

6. Safeguards

The Monarch Group will protect personal information using security measures appropriate to the sensitivity of the information. These security measures will protect personal information from loss or theft, unauthorized access, disclosure, copying, use or modification, regardless of the format the information is held in.
 
Monarch Group will ensure that its employees are aware of the importance of maintaining the confidentiality of personal information. Furthermore, Monarch Group will take care when disposing of or destroying personal information to prevent unauthorized individuals from gaining access to the information.

7. Challenging Compliance

Monarch Group will have procedures in place to deal with any inquiries or complaints from customers or employees about how Monarch Group handles personal information. Monarch Group will inform its customers and employees about these procedures, as well as the availability of complaint procedures.
 
If you have a complaint about our compliance with this policy, we will investigate it. If the complaint is justified, we will take appropriate measures to resolve it, including, if necessary, amending our policies and procedures. You will be informed of the outcome of the investigation regarding your complaint.
